Rocktown Electric LLC is looking for a sharp, multi-talented Operations Coordinator to lead our front-office efforts. This role is the heartbeat of our business. You will be responsible for keeping our technicians busy, our customers happy, our marketing active, and our finances organized. Key Responsibilities

1. Project & Field Logistics

  • End-to-End Scheduling: Manage the calendar for residential service calls, approved jobs, and initial walk-throughs.

  • Permits & Inspections: Handle the critical "behind-the-scenes" work of pulling city permits and coordinating inspections to keep jobs moving.

  • Sales Pipeline: Proactively follow up on open estimates to win more work and ensure all invoices are sent and collected promptly.

2. Financial Management

  • QuickBooks Oversight: Keep our books accurate and up-to-date by categorizing expenses daily and ensuring everything balances.

  • Payroll: Run bi-weekly & monthly payroll accurately and on time.

  • Invoicing: Send invoices when jobs are completed and follow up with collecting payments.

3. Growth & Digital Presence

  • Marketing Support: Manage our Google My Business profile (responding to reviews/uploading photos) and monitor Google Ads performance.

  • Social Media: Create and schedule engaging posts to showcase our recent work and keep our brand top-of-mind for local homeowners.

4. Customer Service

  • Professional Communication: Answer calls and respond to texts/emails in a clear and timely manner.

  • Customer Advocate: Ensure that every customer receives the best possible service.

Requirements

  • Experience: 1 year in an office management or coordinator role; or equivalent experience 

  • Software Fluency: Proficiency/ability to learn QuickBooks Online, Housecall Pro, and social media platforms.

  • Detail Oriented: A high degree of accuracy in managing financial records, pulling permits, and coordinating schedules.

  • Self-Starter: You don’t wait to be told what to do; you see a gap in the schedule or an unfiled permit and you take action.

The Details

  • Pay: $18.00 - $24.00 per hour.

  • Schedule: Monday - Friday, 9am to 12pm (flexible), 10 to 15 hours/week

  • Location: Work from home, potentially moving to in-person in the future
